Clean up before tax time

Year-end is close and the books don’t add up: sales recorded twice, a platform imported gross instead of net, a few months missing, cash never entered. Find the problems first, then fix only what’s wrong.

What usually goes wrong

How to do it

  1. Find the double entries

Export the client’s transaction list from QuickBooks and drop it into the counter. It flags entries that look like they were recorded twice, with the reason, and shows the amount at risk.

Use: Transaction counter with duplicate check (free, nothing uploaded)

  2. Spot the gaps

The same counts, month by month, show where a platform or a whole month is missing.

Use: Transaction counter · Multi-client counter to check every client at once (both free)

  3. Re-import what’s missing or wrong

Download the platform’s export for the missing period and convert it, with fees and refunds on their own lines so net and gross both come out right.

Use: the converter for that platform (from $9) · Conversion Kit for several at once

  4. Record the cash

Type in cash in and cash out, then download a file QuickBooks imports like a bank statement.

Use: Cash log (free) · Excel template to fill in offline

  5. Follow a checklist

For the platform-by-platform fixes, like net versus gross and how to categorize each fee, use the field guide.

Use: The QuickBooks Cleanup Playbook ($12.99 PDF)
