Price a new client

You can’t quote a fair fee without knowing how much is in the books. Count a client’s transactions by type and by month in a minute, then price the monthly work, the catch-up, or both.

Why quoting is guesswork

How to do it

  1. Count one prospect

Export their Transaction List by Date from QuickBooks Online and drop it in. You get counts by type, like sales invoices, bills, bank transactions and journals, for any month, quarter or year, plus a check for double entries.

Use: Transaction counter (free, the file never leaves your computer)

  2. Price the catch-up separately

If they’re behind, the same counts show how many months are missing, so you can quote the catch-up as its own job.

Then: Catch up a new client

  3. Review fees across all your clients

Drop in a report for each client and see them side by side, with monthly averages, a suggested fee for each one, and the clients who’ve outgrown what they pay.

    Use: Multi-client counter (free)

  4. Bill per transaction every month

If you bill on volume, link each client’s QuickBooks once and get every client’s counts on one screen each month, ready to export to your billing sheet.

Use: Connected Transaction Counter (free trial)
