How to import Square Transactions into QuickBooks Online

Why QuickBooks Online rejects it

Square's Transactions export (Reports → Transactions → Export) includes columns like Date, Time, Time Zone, Transaction ID, Payment ID, Gross Sales, Fees, Net Total, Total Collected, and Event Type — often dozens of columns. QuickBooks Online's bank-import tool only accepts a strict 3-column format: Date, Description, Amount. Anything else in the file and it rejects the whole upload rather than guessing which columns to use.

Option 1: Fix it by hand

Free, but tedious if you do it every month.

1. In your Square Dashboard, go to Reports → Transactions → Export, and pick your date range.
2. Open the file in Excel or Google Sheets.
3. Add a new column for Description, combining the Event Type and Transaction ID columns for each row (e.g. "Payment 8HK392910A1234567").
4. Reformat every value in the Date column to MM/DD/YYYY if it isn't already.
5. Use the Net Total column as your Amount — not Gross Sales. Net Total is what actually landed in your account after Square's fee.
6. Watch the sign: Square stores Fees as a negative number, so Net Total = Gross Sales + Fees, not minus. If you're calculating it yourself, subtracting instead of adding will double-count the fee.
7. Delete every other column so only Date, Description, and Amount remain, in that order, with those exact headers in row 1.
8. Strip any $ signs or thousands-separator commas from the Amount column — QBO's importer chokes on both.
9. Save the file as CSV (UTF-8 encoding).
10. If you have more than ~1,000 transactions, split the file into smaller date ranges before importing.
11. In QuickBooks Online, go to Banking → Upload transactions and import the file.

Changed your mind? How to undo an import

Our apps never touch your QuickBooks file, and your original export is never changed. If you import a converted file and want to take it back, remove it in QuickBooks Online like this:

1. Go to Accounting → Bank transactions (called Banking in the older QuickBooks layout) and choose the account you imported into.
2. Not posted yet: on the Pending tab (For Review in the older layout), tick the imported transactions and choose Exclude in the bar that appears at the bottom of the screen.
3. Already posted: on the Posted tab (Categorized in the older layout), tick them and choose Undo in the bottom bar. They move back to Pending, where you can exclude them as above.
4. Open the Excluded tab, tick the same transactions and choose Delete in the bottom bar.
5. Fix whatever needed fixing, convert your original export again, and re-import.

Tip: filter by date so you select only the batch you imported. Undo affects just the transactions you tick.

Frequently asked questions

Why does QuickBooks Online reject a Square Transactions CSV export?
Square's export has far more columns than QBO's bank-import format expects. QBO wants exactly Date, Description, and Amount — nothing else — so it rejects the file rather than guessing which columns matter.

Which Square column is the real transaction amount?
Use Net Total, not Gross Sales. Gross Sales is the value before Square's fee is deducted; Net Total is what actually landed in your account.
